Privacy Notice
What we collect, where we got it, how long we keep it, and what you can tell us to do with it.
Last updated: 03 September 2026
This notice explains how LyfWis Software Studio (“LyfWis”, “we”, “us”) handles personal information in connection with lyfwis.co.uk and with the emails we send to practices in the United Kingdom and Ireland.
1. Who we are
LyfWis Software Studio is a software studio based in Delhi, India, operating lyfwis.com and this site. For the processing described here, LyfWis is the data controller.
The person responsible for privacy questions is Mayank Singh, who can be reached at [email protected].
2. If we contacted your practice
We send a small number of individually written emails to healthcare and veterinary practices about the websites we build. If you received one, we will be holding some or all of the following:
- The practice name, address, town and telephone number.
- A business email address, usually a general practice address, sometimes a named one where that is what the practice publishes.
- The name and role of a practice principal or practice manager, where published.
- The practice website address, and notes we made about it, for example that the opening hours were out of date.
- A record of what we sent, when, and what you replied.
We do not hold, want, or ask for any information about patients. Nothing we do involves clinical records.
3. Where we got your details
We did not buy a list and we did not scrape anyone. Every record comes from one of these:
- Public professional registers, the Care Quality Commission directory, the General Dental Council, the Royal College of Veterinary Surgeons “Find a Vet”, the General Optical Council, the General Chiropractic Council, the Chartered Society of Physiotherapy, and the equivalent Irish registers.
- Your practice’s own website, where the details are published for people to get in touch.
- Your public business listing, such as a Google Business Profile.
We are telling you this because where information came from is exactly what anyone receiving an unexpected email wants to know, and because UK data protection law requires us to say when we did not collect it from you directly.
4. Our lawful basis
We rely on legitimate interests, ours in offering a relevant service to a business, and yours in hearing about something that may be useful to your practice. We have weighed this against your interests and taken the view that a small volume of individually written, clearly identified, easy-to-stop email to a business address is proportionate. You can disagree, and section 5 says how.
We send business-to-business marketing email only, in line with the Privacy and Electronic Communications Regulations. Every message identifies us by name and postal address and offers a plain way to opt out.
5. How to make it stop
Reply to any email we sent and say so. Two words is enough. Or write to [email protected].
When you do, we add your practice to a permanent do-not-contact list and we check it before every message we send, on any of our domains, indefinitely. We suppress the whole practice, not just the one address, so a reply from a personal mailbox still stops mail to the reception address.
You will not receive a follow-up, a “checking in”, or a fresh approach in six months. A no is permanent.
6. If you used this website
This site sets no cookies and runs no analytics, advertising or tracking scripts. There is nothing here for you to consent to.
If you subscribe to our occasional notes using the form in the footer, we keep the email address you give us until you unsubscribe, which you can do from any message we send.
Our hosting provider, Cloudflare, processes technical information such as IP addresses to deliver the page and protect the site from abuse. That is a normal part of serving a website and we do not use it to build any profile of you.
7. How long we keep things
- Practices we contacted who did not reply: up to 24 months, then deleted.
- Practices who asked us to stop: we keep the minimum needed, practice name and domain, on the do-not-contact list indefinitely. This is deliberate: deleting it is how a company ends up emailing you again in two years.
- Correspondence with clients: for the duration of the engagement and for as long as we need it for tax and legal records.
- Newsletter subscribers: until you unsubscribe.
8. Who else sees it
We do not sell, rent or share your details with anyone for their own marketing. The only third parties involved are the ordinary tools we use to run the studio:
- Google Workspace: our email.
- Cloudflare: domain, DNS and website hosting.
Each acts as a processor on our instructions under its own contractual terms.
9. Where your data is handled
We are based in India, so information about UK and Irish practices is accessed and processed there, as well as by the providers above, which operate globally. India has not been the subject of a UK adequacy decision.
We are telling you this plainly rather than burying it. The information involved is published business contact detail, and the safeguards we apply are limiting who can see it (one person), keeping it in access-controlled accounts with two-factor authentication, and not sharing it onward.
10. Your rights
Under UK GDPR you may ask us to:
- Tell you what we hold about you, and give you a copy.
- Correct anything inaccurate.
- Delete it.
- Restrict what we do with it.
- Object to direct marketing, this one is absolute. If you object, we stop, with no balancing test and no argument.
Write to [email protected] and we will respond within one month, usually much sooner. We will not charge you and we will not make you explain why.
11. Contact and complaints

If you are unhappy with how we have handled your information, you can complain to the UK Information Commissioner’s Office at ico.org.uk, or to the Data Protection Commission at dataprotection.ie if you are in Ireland. We would rather you told us first so we can put it right.
12. Changes to this notice
If we change how we handle information we will update this page and change the date at the top.
